Check List for Outgoing Exchange Student

Application period

  • Application Form
  • attachments to the Application Form (please see study field specific instructions)

When the student exchange place has been confirmed

  • confirm your participation to student exchange to the International Office
  • participate in the orientation event for outgoing exchange students
  • the application forms for registration, course selection and accommodation as required by the host institution
  • confirmation of your student exchange from your host institution (by a letter or by an e-mail, or by Learning Agreement signed by the host institution)
  • Learning Agreement
  • the Grant Application Form for the Erasmus/ Nordplus/Metropolia travel grant to the Student Exchange Coordinator of your field of study
  • the Otm form for student financial aid for KELA (attach the Student Exchange Certificate signed by the Student Exchange Coordinator of your study field)
  • register yourself for being present at the home institution during your student exchange according to the given instructions (WinhaWille)
  • language and culture courses prior to the student exchange
  • the Y 39 form to KELA (applies to a stay abroad longer than one year)

Travel arrangements

  • student exchange budget
  • housing arrangements, both at home and abroad
  • vaccinations and vaccination certificates; possible medical examinations with the doctor and the dentist
  • passport/identification card and/or visa/residence permit
  • flight/travel bookings
  • the European Health Insurance Card from KELA (if you are a Finnish citizen and will go to an EU country)
  • a personal travel insurance for the student exchange period abroad
  • inform the host institution about the time and place of your arrival
  • send your contact information and the contact information of your emergency contact person to the host institution

Take with you

  • passport and visa (if necessary), and copies of them that are to be stored in a different place than the original documents
  • travel tickets
  • sufficient amount of cash and a credit card
  • student exchange certificate / Erasmus certificate in English from the home institution
  • 3-5 passport photos
  • European Health insurance Card; travel insurance policy
  • international vaccination certificate
  • possible medication and prescriptions
  • the names and addresses of your contact persons in your home and host institutions
  • material on Metropolia and on Finland in general (brochures, etc.)

In the Beginning of the Student Exchange Period:

  • Learning Agremeent with possible amendments and the signatures from the host instititution to be returned within the first month of the student exchange period to the home institution Student Exchange Coordinator of your field of study. (Erasmus programme)

During the Student Exchange:

  • keep in touch and inform immediately about changes to your student exchange to the Student Exchange Coordinator of your field of study at the home institution

After the Student Exchange

  • Transcript of Records/Study Transcript
  • Letter of Confimation (Erasmus programme)
  • apply for the credit transfer of the courses completed during the student exchange to your degree
  • reporting on student exchange
  • a feedback form about the student exchange to the International Office
